Operations Director
Coordinates practical logistics, budgets, expense records, schedules and resource tracking for MFPC programmes.
Responsibilities
- Maintain estimates, spending decisions, receipts and outstanding costs; discuss spending jointly with the co-presidents.
- Collect directors’ plans and maintain the shared calendar after the whole Board agrees it.
- Coordinate equipment bookings, custody and returns, routine room bookings and event logistics.
- Flag missing information, conflicting dates and practical gaps to the people making the decisions.
Planning the work
Start by agreeing the work and the people involved:
- Review available resources and budget records with the co-presidents.
- Collect current plans, dates, dependencies and practical needs from each director.
- Check the next room, equipment, custody and event requirements, then agree update routines.
Keeping work moving
Keep calendar, budget and booking records current. Check practical readiness with each activity owner. Raise a slipped dependency with its effect and feasible options. Presidents arrange Board meetings and maintain decision records; the designated presidential lead handles membership records and welcoming members.
Working with other teams
Coordinate with the teams involved:
- Production Director: Receive equipment, room and logistics needs; return confirmed arrangements and outstanding requirements.
- Festival Director: Coordinate event resources, practical tasks and agreed dates.
- Presidents: Provide estimates, available funding and consequences for joint spending decisions and institutional support.
Decisions and support
Bring schedule choices back to the Board. Raise insufficient resources, missing access, equipment loss or damage and delivery risks promptly. Radio studio bookings and radio production stay with the radio role.
Leaving a useful handoff
Leave a current calendar, budget and receipt record, booking and equipment custody list, open logistics tasks and a working-file index. Keep access information in private handoffs.
Taking part
Members can respond to announced opportunities to help with logistics, schedules, expense records or resource tracking.
Directors may approach general members first when recruiting smaller teams for their committee. Agree your responsibilities and availability before taking on a role.
